1. Overview

These Terms of Service outline the conditions for booking, using, and receiving services from Timeless Takes (“we”, “us”, “our”).
By booking with us, you (“the Client”) agree to these terms, including payment conditions, travel fees, event responsibilities, deliverables, revisions, and usage rights.

2. Booking & Deposit

• A 50% non-refundable deposit is required to secure your date.

• No booking is confirmed until the deposit is paid AND Timeless Takes approves the booking.

• Remaining balance is due 14 days before your event date.

• Failure to pay the balance on time may result in cancellation without refund.

3. Payment Methods

• Payments are processed securely via Stripe or bank transfer.

• If card details are collected at booking, the card may be charged for:

  • Final balance

  • Approved add-ons

  • Travel or idle fees

  • Damages, if applicable (see Section 12)

You will always be notified before additional charges are applied.

4. Travel Fees

• Prices include travel within 30 km of Sydney CBD.

• Travel outside this radius incurs a fee starting from $100, depending on distance and travel time.

• Final travel fee is confirmed once venue details are reviewed and approved.

5. Idle Time / Early Setup Fees

If early arrival or non-operational waiting is required beyond the included 1-hour setup window:

• Idle time is charged at $75 per hour (or part thereof).

• This must be approved before the booking or added after the intake form is reviewed.

6. Event Requirements

To ensure proper operation:

• A stable, safe area for the booth must be provided.

• Adequate power access must be available unless prior arrangements are made.

• Any venue restrictions must be communicated in advance.

• An attendant is required for all bookings.

Failure to provide a safe and suitable environment may affect recording quality and/or service availability.

7. Deliverables

Depending on the package selected, you may receive:

• Raw video clips (delivered within 48 hours)

• Highlight video (delivered within 5–10 days)

• Extended highlight (10–15 mins)

• Priority delivery (5 days)

• USB keepsakes (engraved or standard)

All deliverables are digital unless otherwise stated.

8. Revisions

• One minor revision is included in the Diamond Package.

• Additional revisions are charged at:

  • Minor Revision: $120

  • Major Revision: $250

• Revision delivery time may vary.

9. Creative Direction

By booking, you acknowledge that:

• Editing style, transitions, pacing, colour, and music selections follow Timeless Takes’ signature style.

• You may request a general editing preference (e.g., “romantic”, “fun”, “emotional”), but the final creative direction remains at our discretion.

10. Use of Music

Videos created by Timeless Takes are intended for personal use only.
Clients acknowledge that:

• Licensed or unlicensed music may be used in personal highlight edits.

• These videos may not be used for commercial distribution unless appropriate music licensing is obtained.

• Timeless Takes is not responsible for copyright claims arising from client-uploaded media online.

11. Media Usage & Consent

By booking, you grant Timeless Takes permission to use non-sensitive video clips or stills from your event for:

• Marketing

• Social media

• Website galleries

• Advertising
  Unless you opt out in writing prior to the event.

Optional: You may be asked to upload a high-quality photo of yourselves for custom overlay/welcome screen purposes if you want to personalise your video booth.

12. Equipment Safety & Damages

Clients are responsible for:

• Ensuring guests treat equipment respectfully

• Preventing drinks, spills, and rough behaviour near the booth

• Covering repair or replacement costs caused by intentional damage or negligence

Normal wear and tear is excluded.

13. Cancellations & Rescheduling

• Deposits are strictly non-refundable.

• You may reschedule once, subject to availability.

• If Timeless Takes cannot attend due to unforeseen circumstances, a full refund will be issued.

14. Technical Issues

If technical issues occur:

• Timeless Takes will make every reasonable effort to resolve them quickly.

• In rare cases where footage is partially affected, a fair partial refund or reshoot credit may be offered.

• No compensation is provided for issues caused by venue power or environmental conditions outside our control.

15. Limitation of Liability

Timeless Takes is not liable for:

• Venue restrictions

• Guest behaviour

• Unexpected audio/noise

• Environmental challenges (lighting, crowding, etc.)

• Loss of footage due to external conditions beyond our control

Total liability shall not exceed the amount paid for the booking.

16. Agreement

By submitting your booking, paying a deposit, or confirming your appointment, you agree to all terms listed above.
